01 Job status tracking

Eight stages. Every job in one of them.

A job is never just "in progress". It is waiting on data, ready to start, with the client on a query, back with the manager for review, or done and signed by the partner. The board sorts every job in the firm into the stage it is truly at, and the count on each tile is the live number sitting there.

  • Eight real stages: Data Requested, Ready to Start, In Progress, Queries with Client, Queries with Manager, Review with Manager, Review with Partner, Completed.
  • Click a tile and the table below filters to just those jobs. The number is the answer to "how many are stuck here?".
  • Real time. Move a job on and the tile it left drops by one, the tile it landed on rises by one.

Move a job. The whole board updates.

The board is not a report someone types up on a Friday. Change a job's status and everything reacts at once: the tile counts shift, the job jumps to its new stage, and anyone else looking at the firm board sees the same truth. Nobody has to ask "is this list current?".

03 Comprehensive job details

Client, period, and the three people on it.

Every job carries the facts that matter for accountability: the client and its code, the type, the exact accounting period, and the preparer, reviewer and partner assigned. No spreadsheet on the side to say who owns what. The board is the record.

  • Columns for Client Code, Company, Type, Period From, Period To, Status and the three roles.
  • Sort by code or company name. Filter by any column with the header funnels.
  • Preparer, Reviewer and Partner are named on every job, so responsibility is never vague.

04 Archive old jobs

Clear the board without losing the job.

When a period is finished, it does not need to sit on the live board any longer. Archive it in one click and it drops out of the working list into the archive, where it is still there if you need it. The board stays to the jobs that actually need attention now.

  • Archive a completed job with one click. It leaves the live list, nothing is deleted.
  • The Archive count updates, and a Clear Filter brings you back to all live jobs.
  • Un-archive just as easily if a period reopens. The record survives either way.

05 Outstanding files counter

Know how many files you have left.

One file is consumed when you create an accounting period. The counter on the dashboard shows how many of your files are used and how many remain, so you can top up before you run out rather than being stopped mid-job. Fifty files, one used, forty-nine to go.

  • The counter reads used / total right on the board. No digging into billing to find out.
  • Create a new accounting period and the counter ticks up by one, so you always see it coming.
  • Top up before you hit zero and the firm keeps moving without interruption.

06 From the firm, into the client

Pick a client, drop into their job.

The firm board is the top of the tree. Select a client and you are into their file: their lead schedules, their status, their queries. The firm dashboard and the client dashboard are the same job at two zoom levels, the whole firm and one client, and you move between them in a click.

  • The Select Client picker lists every client, plus a shortcut to Add Client.
  • Choose one and you land on that client's dashboard, scoped to their year.
  • The firm board is where a partner starts the day. The client dashboard is where the work gets done.

Before any single file, a partner needs the shape of the whole firm: what is waiting on clients, what is sitting for review, what is done. The firm board answers that in one look, so the day starts with a plan instead of a scramble.
